Tools > Options > Email
Item > Send Email

Both look intriguing but I can't find any documentation that tells me exactly what the capabilities are or how they work.

Thanks

I think it looks for email addresses within the item and then populates the To: field in your default email program.

Interesting, thanks Jon!  I just inserted an email into the item field, selected Item > Send Emails and it did launch a window, which in turn launched Outlook when I pressed "generate emails now".  Unfortunately now I only have more questions .

1. What in the world is "individual emails" versus "single email" (see attachment).

2. I was assuming the body of the email would get inserted into the IQ HTML pane or somewhere, so there was a record in IQ of what was sent.  But I don't see that happening, so I'm not at all sure of what purpose the function even serves?  Obviously I am missing something.

3. This feature does not require any email settings in IQ since everything is being done in Outlook, so I'm still left wondering what Tools > Options > Email is for?

If there is documentation on this, I sure can't find it.

Thanks

 1. I think the difference is that when you have multiple email addresses, you can choose sending to ALL recipients in a single email. This contrasts with parsing the email addresses so that INDIVIDUALemails are generated containing one address each.

2. No, to my knowledge a record is not kept within IQ. This is more of a convenience feature. For instance, let's say you have an address book in IQ and want to send a quick email. See where I am going?

3. I used to know, but I forget. I really do not use any of these capabilities. I am recounting them from my very limited one-time testing.

Hi David,
  1. If you select more than one item, you can choose to send a single email with all recipients in the same email or send an email for each one. If you have lots to send, individual emails go through spam firewalls much better
  2. No, the body is empty, for you to write a message. This feature is rather basic, but does the job for mass mailing
  3. The Tools > Options > Email setting is for other email enabled features, such as Email Merge
HTH !

Thanks Pierre.  Re: each number:

2. What I was saying was that I was expecting whatever I typed to get automatically inserted into the HTML body after selecting "generate email".  For me the entire point of generating an email from IQ would be to have a record of it in IQ as it related to a to-do.  Unless I am missing something all IQ does is generate an email, but after sending there is no record of it in IQ or any way to even know it was done (other than by manually adding a note that says "I sent an email")?

3. What is email merge :)?

If there is documentation you can point me to, no need to answer.

 Hi David,

2. I could add an option to create an item under the currently selected items which will contain the email information. This would serve as a log of the emails sent

3. In Print Preview, option 3: Merge the selected items with a template file, you can email-merge

Hi Pierre,

Is there no way to insert it into the HTML pane?  I think that is where it should go, that is the "reading pane", and if I create a task to email someone, it makes more sense to me that it would be inserted into the HTMP pane at part of that task, as opposed to requiring an additional sub-task.

Thanks,

David
