Importing Emails into InfoQube

1. Importing from Outlook

Use any of the following means to import / link Outlook emails:
  1. Drag the Outlook email item to the YourIQBaseFile.files folder (to create a copy) and drag that copy to an IQ grid (such as the Emails grid). The Add File dialog will show (See Link to Files, Folders and URLs)
    • Select File Saved in HTML pane if you want to be able to view it inside IQ.
    • Select File Saved in File link fields or in URL field to create a link which will open Outlook where you can view the email
       
  2. Open the Hyperlink dialog and drag-drop an Outlook item onto the Outlook drop zone. Clicking the link will open the email in Outlook.

  3. Use EmailToIQ to forward emails to IQ (manual or automatic). See 2. Send To InfoQube using EmailToIQ for details
     
  4. Select email content and use the Universal Clipper to grab it. See 1. Clipping Content from other Apps for details 
     

2. Importing from Web-based Email Servers

Gmail and other web-based emails servers are extensively used because they are very convenient and available on all platforms.
 
Use methods 3 or 4 above to import from such services (EmailToIQ or Universal Clipper).
 

3. Importing from Thunderbird

Ensure that the Thunderbird extension is installed. See InfoQube Program Install and Set-up for details

With the extension installed, there will be 1 icon on the Thunderbird toolbar and 1 entry in the right-click (context) menu

   

  • All emails go in the Emails field. If you've created an Emails grid, it will show these
  • The following fields are filled
    • EmailSender
    • EmailRecipients
    • EmailDate
    • Emails is checked
    • The email subject is put in the item field
       
  • The actual email is saved as an eml file and put in the YourFile.sndb_files folder and is viewable in the HTML pane.
  • Click on Open in Browser to open your mail client and view the email, complete including attachments. Edit with MSWord also does this. (Menu item, icon, or CTRL+W)
  • The text content is indexed (and put in the ItemHTMLText field)
  • A notification will be shown on the taskbar when completed
  • You can select multiple emails
     

4. Importing EML Files

Many email clients can export emails as EML files. Some even use that as the native storage format. To import EML files into IQ, use one of:
  1. Drag the EML file to an IQ grid (such as the Emails grid). The Add File dialog will show (See Link to Files, Folders and URLs)
    • Select File Saved in HTML pane if you want to be able to view it inside IQ.
    • Select File Saved in File link fields or in URL field to create a link which will open your mail client where you can view the email
       
  2. If an item already exists, you can drag-drop the EML file (and other types too) to the HTML pane (must be in Browse mode). This will show the file. Click Save to make this permanent.
     
  3. Use EmailToIQ to forward emails to IQ (manual or automatic). See 2. Send To InfoQube using EmailToIQ for details
     
  4. Select email content and use the Universal Clipper to grab it. See 1. Clipping Content from other Apps for details 
     

5. Viewing Emails in the Emails Grid

Having an Emails grid is a handy way to see all emails, whether it was imported using the Thunderbird extension or from the EmailToIQ feature.
 
If there isn't one already in your database, it can easily be created:
  1. Menu > View > Grids > New Grid
  2. Enter Emails as the grid name
  3. Click OK
  4. Click on Columns -> Add / Remove Columns...
  5. Tick the above fields to have them shown in this grid
  6. Click OK
n.b. Instead of step 4-6 above, you can also open the properties pane (F4) and drag those fields to the grid.
 

Notes 

  • Displaying EML files in the HTML pane: If you find that emails does not display correctly in the HTML pane (i.e. for EML files), you need to apply a registry tweak. See InfoQube Program Install and Set-up for details
